Membership in the FGPS
Procedure for new membership application
- An application for membership is initiated by the faculty member who presents his request to the director of his department/unit.
- The member’s application is examined by the Departmental Teaching Personnel Committee, the director, and then by the Faculty Teaching Personnel Committee and dean of the faculty. Their recommendations are forwarded to the dean of the Faculty of Graduate and Postdoctoral Studies, who submits the file to the Executive Committee (Membership Subcommittee) of the Faculty; the Executive Committee decides for or against membership.
Each applicant is assessed by the Membership Subcommittee in light of the following criteria: the professor's established reputation in the field as indicated by the dissemination of peer reviewed research publications appropriate to the discipline; the professor's continuing research activities; and supervisory skills. Applicants must also satisfy one of the following conditions:
1. hold the rank of full professor;
2. hold the rank of associate professor;
3. hold the rank of assistant professor and have a doctorate and at least two years of experience in research (postdoctoral experience or other demonstrable evidence of independent research activity);
4. be appointed as emeritus, adjunct or clinical professor at the University of Ottawa.
Members of the FGPS are authorized to supervise, co-supervise theses, and serve on master's and doctoral students’ thesis examination boards.
The terms of appointment are normally:
1. eight years for full, associate and assistant professors (except as stated below);
2. three years for emeritus, adjunct and clinical professors (to coincide with their appointment), and for regular professors not linked to a graduate program;
3. three years for assistant professors seeking a first appointment.
Membership in the FGPS is approved by the Dean of the FGPS on the recommendation of the Membership Subcommittee. The Subcommittee bases its recommendation on all the pertinent documentation submitted (the recommendations of the Department Faculty Teaching Personnel Committee, the Chair, the Faculty Teaching Personnel Committee, and the Dean of the faculty to which the professor belongs, the professor’s curriculum vitae).
Any request for an exception to this regulation must be approved by the Executive Committee.
The foregoing does not restrict the appointment of full-time or part-time professors of the University of Ottawa to give courses at the graduate level.
Procedure for membership renewal
Once membership is granted, renewal normally takes place every eight years, two years prior to the cyclical review of the graduate program with which the professor is affiliated.
Every year, the Dean of the FGPS sends a letter to the deans of the faculties and to the directors of departments/units requesting the documentation for the membership review.
A recommendation form must be filled out by the director of the department/unit for new membership requests and renewals.

Normally, only members who are members of the Faculty of Graduate and Postdoctoral Studies may direct and examine theses.

Membership or non-membership in the Faculty of
Graduate and Postdoctoral Studies shall not, in and of itself, be used to the member's detriment.

It is the responsibility solely of the Senate to establish and to modify from time to time the criteria for membership in the Faculty. |

Members holding the rank of assistant, associate, or full professor are eligible for membership in the Faculty. Members holding the rank of language teacher IV are eligible for membership in the Faculty under provisions applicable to assistant professors.

SECTION 32.2 MEMBERSHIP IN THE FACULTY

Recommendations and Decisions |

An application for membership in the Faculty shall be processed as follows.

| (a) |
When a faculty member applies for membership in the Faculty, the member's application shall be examined by the DTPC and chair, and then by the FTPC and Dean. Their recommendations shall be forwarded to the Dean of the Faculty of Graduate and Postdoctoral Studies, who shall submit the file to the Executive Committee of the Faculty; the Executive Committee shall decide for or against membership.

The question to be addressed is: "Does the applicant have the supervisory skills and has he or she maintained a record of scholarly activities, the results of which have been recently disseminated and which are appropriate for the direction of graduate theses in the relevant areas of his or her discipline?". Each answer shall be supported by appropriate reasons and evidence. The chair shall either concur with the DTPC or provide a separate response, with reasons. The Dean shall either concur with the FTPC or provide a separate response, with reasons.

| 32.2.2 |
Periodic Reviews |

| 32.2.2.1 |
When there is evidence that a member’s supervisory skills may no longer be adequate or when, in the course of OCGS program reviews, there is evidence that the member may not have maintained a record of scholarly activities appropriate for the direction of graduate theses,
the Dean of the Faculty shall, if he or she has concerns, write to the member to advise him or her of these concerns, inform the member that he or she must decide whether she wishes to remain a member of the Faculty, and inform the member of a reasonable deadline for a response.

A member who does not respond shall be deemed to have withdrawn voluntarily. If the member requests that he or she remain a member of the Faculty, the request shall be processed as in 32.2.1, mutatis mutandis.
